Photograph each room after access is authorized and record what can be inspected. Number repair items and distinguish observed damage, routine finish wear, and requested upgrades. Do not combine accounting or deposit decisions with the work order. A contractor’s scope describes work, not who should pay under a tenancy agreement.
Identify functional repairs and incomplete work that must be resolved before the planned handback. Put optional finish upgrades in a separate column. Ask which tasks share access or preparation so they can be grouped efficiently. Avoid adding upgrades during work without checking their effect on the original completion plan.
Record the authorized contact, entry arrangement, utility availability, parking, waste handling, and locations where materials may be stored. Specify who orders flooring, fixtures, paint, and replacement hardware. Standardize product details where appropriate, but confirm compatibility with the actual property before reusing a specification from another rental.
Agree who can authorize changes and what documentation is required before extra work proceeds. Ask for photos of completed numbered items, remaining exclusions, and relevant receipts or inspection records. Confirm actual crew capacity before announcing a new occupancy date. Permit questions belong with the property’s city or county authority.
